New Clients

  • Onboarding

    Interested in services for a new client? Please contact our onboarding specialist, Susan, who will collect all information needed to set up an evaluation (or send an inquiry through the Contact Us page). The 3 steps to onboarding include (1) obtaining a physician’s order (2) verifying insurance benefits and (3) completing patient intake forms. Each step is further described below:

    1: OBTAINING A PHYSICIAN ORDER: A physician’s order must be obtained prior to initiating services. Referring physicians can fax orders to 316.974.3826 and we will follow up with the patient within 72 hours. If you do NOT have a physician’s order for your child, we can request one from your physician’s office with a few pieces of information which our onboarding specialist will ask you for.

    2: COMPLETING A VERIFICIATION OF INSURANCE BENEFITS: We accept all forms of insurance including Medicaid. Because of our contracts with insurance, we are unable to offer a cash-pay discount of any kind. Our onboarding specialist and billing team will reach out to your insurance provider to determine what your benefits look like including an estimated cost of services. In order to complete the verification of benefits, you will be asked to provide your child’s name, date of birth, physician’s name and practice location, and a picture of your insurance card. Please allow 1 week for the verification to be completed. Our billing team will reach out to you via email once the verification is complete to explain your benefits (please note: Medicaid patients will not receive a follow-up email unless there are any foreseeable issues obtaining coverage).

    3: COMPLETING PATIENT INTAKE FORMS: Patient intake forms will be sent out as soon as the evaluation is scheduled. Patients should receive a notification from the patient portal when forms are sent. These MUST be completed at LEAST 48 hours prior to evaluation so that the therapist can prepare appropriate evaluation materials. Failure to complete forms in advance may SIGNIFICANTLY PROLONG the evaluation process and/or result in rescheduling at a later date.

  • Wait-List

    Sweet Talk is proud to be one of very few clinics in town offering highly specialized myofunctional therapy services. Because of this, it is not uncommon for us to have a waitlist for services. Please consider getting your child on the waitlist as soon as possible if it is suspected he or she will need myofunctional therapy. It is simply not possible for us to estimate how long a child may have to wait for services due to a variety of factors, but the following information may help parents better gauge the possible wait considering in light of your child’s needs:

    -We pride ourselves in offering the HIGHEST quality of care possible. Therefore, we limit the number of clients on our clinician’s caseload so that they can give each client the attention needed for therapy to be as efficient as possible. We promise your wait WILL BE WORTH IT!

    -Unlike many other clinics, we will NOT evaluate your child until we have a treatment spot available for him or her. We don’t think it’s fair to evaluate your child only for your to find out it may be months before a treatment spot is open! Any time a weekly treatment spot becomes available, we will offer that time to the person at the top of the waitlist. If that client unable to make the open time work, we will continue asking down the waitlist until that spot is filled. We will continue to work our way down the waitlist beginning at the top each time a new opening becomes available. YOUR WAIT WILL LIKELY BE SHORTER if you are able to commit to a day-time treatment spot, as after-school/work and weekend times are highly sought-after).

    -Myofunctional therapy (including feeding therapy and tongue tie assessment) is the therapy most in-demand at our clinic. Currently, 2 of our clinicians are highly trained in this specialized therapy. Because of the demand and specialty nature, the wait for this type of therapy is typically the longest. If your child is needing therapy for language concerns, fluency, general articulation, or Autism the wait is likely much shorter since all of our clinicians are able to treat these areas.

    -Infant feeding: we understand that therapy for infants struggling with feeding is urgent and therefore we try to reserve slots in our schedule that would infants to bypass the waiting list.

Evaluation Information

Evaluation Cancellation Policy: We kindly as you avoid cancelling/rescheduling an evaluation if at all possible, as we block out 60-90 minutes of time to complete your child’s evaluation. We understanding that illness and other emergencies do arise. If something occurs that will require you to cancel and reschedule your evaluation, please call us as soon as possible. Because of our extensive waiting list, an evaluation can be scheduled ONE TIME with 24-HOUR ADVANCED NOTICE. Any additional cancellations will result in a $100.00 fee which must be paid prior to rescheduling (this is to ensure our employees do not repeatedly lose out on payment; we only receive compensation for sessions that are attended and thus billable). Please keep in mind that rescheduling an evaluation may result in being bumped down on the waitlist.
